Ivana works at Sverull, which is active in industrial service, mechanical maintenance and product sales. The company handles large volumes of invoices. Ivana says it would be unreasonable to sit and manually envelope everything.
- We still send our reminders by post. I usually do that work. It takes me a whole day to go through reminders, envelopes and mail. If I did the same with the invoices, it would take many hours of my working day. Now, the invoicing routines are done in half an hour. Then they are ready.
What do you think about using the InExchange invoicing service?
- I find it very easy to use. For example, I really like that you can go in and make changes inside the service. If the invoices are stopped in the system, you can handle them directly and then send them on. You don't have to go back to the ERP system and maybe have to credit and re-invoice.
What type of stop are you referring to primarily?
- Most often it is about e-invoices and that the wrong reference has been written. For example, it may be a cash customer who has paid, but who has accidentally sent the invoice to the invoice report. With the consequence that there is a missing name. On the other hand: we have the reference check that InExchange offers activated. Thanks to it, we get a warning if something is wrong.
Does the warning system fulfill its function?
- I appreciate it very much. It saves my time. It also shortens the payment time. If we send an invoice outside InExchange, and thus without the aforementioned control, we do not know that there is a mistake until I send a reminder. And by then the invoice is overdue plus a few more days have passed. The warning shortens the time until you get paid for your invoice.

You also receive invoices via InExchange. Do you see any benefits in that case?
- It is very convenient that the supplier invoices go directly into the system and are already verified because then we can skip that step. When the invoices arrive in our accounts payable system, the details of the supplier, amount and purchase number are scanned and in place. We just need to go in and reconcile and certify.
That sounds like a big time saver too?
- Yes, you don't have to deal with the handling associated with the verification. Among other things, the job of finding out who is responsible for certifying the invoice. Most often, these supplier invoices, which do not have any certification, go directly into our financial folder where we can reconcile, post and send for payment. It saves a lot of time.
