Customer demands gave T-Schakt its own profit
T-schakt in Örebro is the administrative center for 70 partner companies in the construction industry. With so many incoming channels, the office staff could easily have drowned in paper, but thanks to the digitization of much of the handling, that danger has gradually shrunk over the years.
Around 80% of outgoing invoices are sent electronically via InExchange.
- It's smooth and hassle-free. We wouldn't want to switch to anything else," says Jonas Andén.
T-schakt is a wholly owned subsidiary of the economic association that Örebro County's excavator association once formed. The company's role is to be the overall administrative resource for its partners and to be responsible for contracts, pricing, quality, environment and invoicing.
- Our clients range from entrepreneurs with one machine to our largest partner who has 70 excavators and dumpers. The majority are linked to Örebro County. That is where 95 percent of our business is located. Then we have a smaller proportion of remote jobs," says Jonas Andén and continues:
- "We handle all invoicing. That's why we have InExchange because it's so easy.
Greatly facilitated
In total, there are seven employees in the office. Jonas is in charge of quality, environment and IT. The tasks are therefore many. If you have tools at your disposal that make everyday routines easier and save a lot of time, it is of course gratifying. These are exactly the effects that Jonas can testify to regarding the invoice service from InExchange.
- "It's a real help for us," he claims, and his voice gets a little tired when he remembers how cumbersome invoicing was a few years ago when the manual steps took turns.
- "Back then, our administrator sat with the delivery note and manually entered all the information into our system. Then it would be compiled into an invoice, checked, printed and paired with the right attachments. Then everything had to be stuffed into envelopes, stamped and posted. Yes, hello. It was a lot of work.
Jonas almost needs to breathe after the review before he adds gratefully:
- "Now we can send a file instead. It saves a lot of time.
Was a customer requirement
But despite all the benefits, most of which were obvious beforehand, the switch to e-invoicing was not an internal initiative at T-schakt.
- It was a customer requirement, I can say. From municipalities and large construction companies. They made it a requirement. The decisive pressure came from Örebro municipality. They thought we should try sending electronically. That's when we felt it was time to jump on the bandwagon.
On the other hand, the change of invoicing method would probably have happened anyway.
- We saw a benefit in that too. As I said, it's very flexible," says Jonas.
In retrospect, the choice has proved to be a sensible one. After many years of use, the positive impression is just as unshaken. T-schakt sends around 1000 electronic invoices every month via InExchange and according to Jonas, everything is running smoothly.
- "It works really well. It's completely problem-free, he says with satisfaction.
- "Sometimes someone new may want to change the layout of the invoice, or put some information in the wrong place. But then we have turned to the support at InExchange for help. It is perfect. Quick answers and hardly any queue. The fee is also extremely low. I'm amazed at how little it costs to be an InExchange customer compared to what you're used to in that industry.
But the praise doesn't stop there.
- If you want to make a copy, you can just print it out online directly in the service and send it via InExchange. It's very convenient. It's just as easy to attach PDF documents. We do that from time to time. It's no problem at all, Jonas assures us and emphasizes how strong the confidence in the service is by highlighting the following fact:
- "Our ERP system has some built-in solution that apparently allows you to send electronic invoices, but we have never used it. We stick to InExchange. We would not want to switch to anything else.
More electronic is the goal
Further streamlining - and also simplification - has been achieved by the fact that the partners' reporting to T-schakt is now done through an app. The original app was developed by Närkefrakt. Now the same system has been adapted for T-schakt. By reporting on customer assignments, time spent, etc. in the folder, there is no need to handle delivery notes.
- It works really well. Delivery notes are something we want to get rid of. We want it to be purely electronic," says Jonas Andén, who sees exciting development potential:
- "In principle, the app can be used to register the order so that it becomes an invoice without us having to look at it. In other words, it goes all the way to the customer without any manual work in between from our side in the office. We're not there yet, but that's the goal.
