Perfect service for the company that also benefits the environment

Michel Gulunay, Project manager

There are two things in particular that Michel Gulunay, project manager at Volkswagen Group Sweden, highlights when it comes to invoicing through InExchange. It is how easy and reliable it is.
Volkswagen Group Sweden became an InExchange customer in 2013, and Michel is grateful that the company took that step.
- "InExchange is one of the most important suppliers we have. Yet we almost never have to contact each other. Everything works so perfectly, he says.

Michel likes the user-friendly view of the service provided by InExchange. It is a handy tool to work with.
- I have to say that I am very impressed with the layout of the website. The user-friendliness of the site makes the procedure of sending invoices extremely smooth. Take for example the postage optimization. How easy is that? With two clicks of a button, you have saved money and time and also contributed to a better environment. It's absolutely phenomenal.

Reliability is also a primary strength in his eyes. "There's an important peace of mind in knowing that billing is running smoothly. It is a service that does not fail.
- We have never had to contact InExchange about problems of this kind. And that's nice of course. That's exactly how you want it to work," Michel says, pointing out:
- 'But that shouldn't stop us from having a dialog and strategic meetings with each other. There is always a benefit in evaluating and looking at development opportunities.
Michel concludes in conclusion:
- We are more than satisfied. Now we can't imagine going back to anything else. Like what we had before we started e-invoicing in earnest. It's not even an option anymore.

A new world

When Michel Gulunay recalls old practices, he is amazed at how inefficient and laborious the methods were back then.
- We enveloped all these invoices on the spot. We had three colleagues enveloping about 50,000 invoices a year. And it wasn't just single invoices. Some were two- and three-sided, too.
- Of course, this was not sustainable," he continues:
- "In the end, we thought: no, all this has to go through InExchange. Which was wise. Apart from the time savings, e-invoicing has been a completely different world for us. I think we're up to 220,000 customer invoices a year, 90 percent of which are e-invoices. All invoices from 14 of our 16 systems go through the financial system to InExchange in one format. Because it is so simple, we have connected as much as possible.

Inexchange took care of everything

Of course, never giving the format problem a second thought is convenient.
- We don't have to worry about it at all," says Michel happily.
- It was the same with the implementation. Before we switched to e-invoicing, we found it a complicated part. We didn't know how to connect it. There were many questions. But InExchange erased all the question marks. InExchange said: we take responsibility. We will set it up the way you want.
Michel emphasizes that it felt liberating to get such clear expertise.
- It is possible that it was a standard solution to a large extent that we received, but it really felt like the installation was adapted to our needs which made it so easy. The implementation and the project itself went very quickly.
In other words: The trust between the parties was great from the start.
- If the supplier has the knowledge, it is easy. We never had to figure out what format it needed to be or how to do it. Instead, we were given suggestions on what we could do. We got help and advice all the way. It made things much easier for us.

Important environmental contribution

Michel Gulunay started at Volkswagen Group Sweden as an economist. Today, he is a project manager in the finance group and also responsible for the implementations linked to the company's financial system. He is inspired by the rapid pace of technological development. Digital business communication is one example. The automotive industry's transition to fully or almost fully electric vehicles is another. Volkswagen Group Sweden is the largest car importer in our country and has a total of six brands. All six have electric models in their programs.
Michel sees this as positive, but also necessary progress.
- "As part of the automotive industry, we have historically had a large environmental impact and still do to some extent. So we have to compensate in other ways. In addition to investing in the electrification of cars, we are taking other kinds of environmental initiatives. E-invoicing is one of them. It was not justifiable to let so many paper invoices go out across the country. Switching to electronic invoicing was a must. It was an environmental contribution we felt we needed to make," he concludes.
