This is the first thing that accounts manager Eva Petré Rege emphasizes when she talks about the experiences Coor Service Management has of InExchange.
“A supplier relationship needs to work as a partnership.
This is something we have achieved in a fantastic way with InExchange,” says Eva.

Coor Service Management, which is one of the Nordic region’s leading facility management providers and which is headquartered in Kista, has been a partner of InExchange for many years.
Having a partner relationship and not an impersonal customer or supplier connection is essential according to Eva.

“I feel that this is paramount when cooperating with suppliers in general,” she says and describes the communication with InExchange as an example.

“We have a very good dialogue and it’s totally transparent in both directions.
Which is great. Because that way we reach an understanding of each other’s challenges and know what we can require of each other.I feel that is really important.”

Fast responses

There is also a clear responsibility in the partnership, among other things.
Coor Service Management uses InExchange for all incoming e-invoices and also for more or less all outgoing invoices.

“Questions come up about this flow on a daily basis,” says Eva.

“We need InExchange’s help to understand how to resolve a customer requirement. It can also happen that we can’t see the information we need on the invoices and that we must communicate with InExchange to identify the reason for this. Is there a field in our display XSL that should be added, or has the supplier not even sent the information?

“It’s always these small, corrected details that result in satisfied customers, or in our business ensuring that all the information they need appears on their supplier invoices. Therefore the daily work just carries on.”

Eva Petré Rege also brings up the issue of specific customer requirements. For example, special information that Coor’s own system cannot provide but which the customer absolutely must receive.
That’s where InExchange comes into play.

“We know that InExchange can resolve this. All we need is the information. Then we can rework the invoice in the right way for the customer,” Eva says.

Do you think we manage this at short notice?

“Yes, I do. The contacts we have at InExchange are unbelievably fleet-footed, I have to say. It’s very rarely that I turn to them and it takes a while before anything happens. That doesn’t happen.
The responses are usually very fast.”

Eva adds immediately:

“And it’s really important, of course, that we receive answers almost instantly.

We get fast and excellent responses from the support at InExchange and our contacts at the company.”

Interesting perspective

Electronic invoicing is also interesting as there is much hidden potential in data. Coor Service Management has replaced its invoice management system.
Thanks to the switch, it has gradually been preparing row information.
Eva Petré Rege believes that above all else this offers an interesting perspective for the purchasing department when this procedure is performing as it should.
“The overview will be very detailed and thorough.
For example, you can take a look at items or compliance,
what is it we are trading, which suppliers are we trading with, are we buying the right items, is it the right price, etc.”

Complete electronic documentation which is traceable and searchable paves the way for e-commerce.
InExchange has a special e-commerce service which really is all the rage.
Experience shows that e-commerce creates a very efficient purchasing process and that it is easy to perform analyses and follow-ups.

As soon as it is feasible, Coor Service Management will get started with e-commerce.
It should be possible when the market matures a little more digitally.

“I look forward to when we too can work with this part.I think it could be really good,” says Eva.
